How We Built a Jungle in a Ballroom

When guests stepped through the doors of the gala dinner, they didn't enter a ballroom. They entered a rainforest.

As part of a luxury incentive programme in Panama, our challenge was to transform a blank event space into a vibrant Panamanian jungle that would completely immerse guests from the moment they arrived. Every detail was designed to engage the senses and blur the line between reality and imagination.

 

Creating a Jungle from the Ground Up

The client's vision was ambitious: guests should feel as though they were walking directly into the heart of a Panamanian rainforest.

To bring that vision to life, we covered every wall, corridor and entranceway with lush foliage, creating a seamless journey from the lobby through to the dining space. Floor-to-ceiling greenery surrounded the room, while real flowers and plants filled every corner.

 

Engaging Every Sense

Creating the visual transformation was only the beginning.

Guests were welcomed by the sounds of the rainforest, with birdsong echoing through the space and the gentle rustling of trees and bushes playing throughout the evening. Mist machines infused the room with fresh forest scents, while the abundance of foliage added its own natural fragrance.

The result was a fully sensory experience that immediately transported guests from a hotel ballroom to the Panamanian jungle.

Even the tactile elements were considered. Guests could touch the flowers and foliage surrounding them, while carefully selected table linens introduced a variety of textures that complemented the natural environment.

 

Bringing the Rainforest to Life

To enhance the illusion, we incorporated larger-than-life representations of native Panamanian wildlife throughout the space.

Life-sized and oversized figures of animals including sloths and the iconic leopard frog were strategically positioned amongst the greenery, creating moments of discovery throughout the room.

Our creative technical producer, Viktor, also developed a unique AI-generated character that became the "Voice of the God" throughout the experience.

 

Creative Challenges and Quick Thinking

As with any large-scale production, the reality on-site presented a few unexpected challenges.

Our original design featured dramatic 1.5-metre-high tree centrepieces for every table. However, once the trees arrived, it became clear that they obstructed sightlines across the room.

The team quickly adapted the design. Larger trees were repositioned around the perimeter of the ballroom, where they helped frame the space while cleverly disguising the AV control area and speakers near the stage. Smaller trees and scaled-down centrepieces were introduced to the dining tables, maintaining the jungle aesthetic while ensuring guests could comfortably see one another and enjoy the entertainment.

What could have been a setback became an opportunity to improve both the guest experience and the overall room design.

 

Transforming Event Infrastructure into Rainforest Features

Creating a convincing jungle often means disguising the things guests aren't supposed to notice.

Structural truss pillars were transformed into towering rainforest trees, complete with oversized roots, tree stumps and surrounding undergrowth. These installations helped hide technical infrastructure while contributing to the overall environment.

Every design decision was made with a single goal: ensuring there was never a moment where guests were reminded, they were standing in a ballroom.

 

Performance, Technology and Storytelling

The entertainment programme was designed to complement the environment and bring the jungle to life.

Guests were first welcomed in the lobby with traditional Panamanian drummers, who then led them down the stairs and into the transformed ballroom. The journey itself became part of the experience.

Throughout the evening, performers appeared as characters inspired by the rainforest. Hoop artists moved slowly and deliberately as sloths during their first performance, before returning later with more energetic routines inspired by hummingbirds and the wider jungle ecosystem.

Traditional Panamanian performers, stilt walkers, drummers and a fire dancer added further layers of spectacle and cultural connection.

Meanwhile, our creative technical producer created a bespoke AI-generated visual experience for the LED screens. Combining AI-generated video and music with live choreography, he worked closely with the dance troupe to ensure the performers' movements mirrored the visual storytelling on screen, creating a seamless blend of technology and live entertainment.

 

More than a dinner

The most memorable gala dinners aren't defined by what's on the menu, they are defined by how they make people feel.

When you combine immersive scenery, captivating performances, atmospheric sound, evocative scents and engaging storytelling, you create an experience that guests don't just witness, they become part of.

For this event, an empty ballroom became a Panamanian jungle. The question is: where could your next gala dinner take your guests?
